Field Service

Field Service is for work that happens at a customer's site: an installation, a service visit, a callout. It's three screens. Jobs, Calendar and Contracts.

This one is switched on per workspace. If it isn't in your sidebar, an admin can add it from Settings → Billing, or ask us to switch it on.

Raising a job

Field Service → Jobslists everything booked, with counts across scheduled, in progress, completed and today. Filter by status or by who's doing it, or search the site address.

  1. Create the job

    Give it a title that reads on a phone screen, like “AC service, Unit 4B”. Add the customer, the site address and any notes the crew needs.

  2. Schedule it

    Set the date and time. A job without one stays in the list marked unscheduled, so nothing quietly falls out of view.

  3. Assign the crew

    Pick who's going. They're notified, and the job appears in their list.

A job runs through scheduled, in progress, completed, then invoiced. You move it by tapping the status, and the times are stamped as you go.

The schedule

Field Service → Calendarshows the month with each day's jobs. Tap one to open it. It's the view for seeing how a week is filling up. Booking and moving jobs happens on the job itself.

On site

This is the part your crew uses on a phone. Install OSLO to the home screen first, from the setup page, so it opens without hunting for a browser tab.

  • Start the job when you arrive and mark it complete when you leave. The timestamps come from those taps.
  • Log notes from the fieldon the job as you work, so the office isn't phoning to ask.
  • Take the customer's signatureon the screen. It's saved against the job, and can be taken again if you need to.

A completed job can kick off an automation, so the invoice or the follow-up doesn't wait for someone to remember.

Visit reports

A visit report is what you hand the customer at the end. Create one from the job and it opens as a numbered draft.

Fill in the work performed, the materials and parts used, time on site, and anything you recommend they do next. Add photos of the site, up to a dozen. Then have the customer sign it.

Use the download button for a PDF copy to email or print. A job can carry several reports if the work runs over more than one visit.

Service contracts

Field Service → Contractsrecords the maintenance agreements you're working under: the customer, the period, the value and what's covered. The list shows what's active, what's expiring in the next thirty days, and what it's all worth.

Jobs can be linked to a contract, so you can see what's been delivered against it.

Who gets access

Field Service is switched on per workspace and has its own access, separate from Projects. Owners, admins, leaders and managers get it. So does the Field Worker role, which is built for crew: their jobs, and not much else.

A salesperson doesn't get it by default. Grant it per person in Settings → Members if they need it.
